What is Content Management?

Content Management Systems allow a business control over their data and creates a system that enables multiple users to share and contribute specific data dependent on their position in that business. This data can refer to absolutely anything really, including: documents, pictures, movies, or telephone numbers.

In many ways content management is just the same as using a database. However, many content management systems are used for internet based businesses or for particular online areas of a business that may not have its primary focus on the internet. In this instance a CMS (content management system) that has been chosen or designed specifically to suit the needs of the individual business, is used to streamline the publication of online data too. The CMS takes databases to the next level and allows much more control.

What does a Content Management System do?

Content management systems should do any or all of the following, dependent on design and what the CMS is primarily used for:-

  • Allow easy storage, input and retrieval of data
  • Enable a large number of people to access and use specific data
  • Improve communication between administrators of the content management system
  • Control data access for all administrators
  • Help the word processing of all administrators
  • Enable the easy publication of online data without prior knowledge of HTML or any other programming abilities

Types of Content Management Systems

There are many different types of CMS, but they all concentrate on the key points above. I have already mentioned that content management systems are popular in today’s business world for internet use, however it isn’t all about internet content management, you will also find several other popular systems, such as:-

  • Document Management System – Basically a database used to store and track electronic documents and/or images of paper hard copies. This content management system would of course control data access for various users.
  • Enterprise Content Management – This is primarily a CMS that allows the management of procedures used to capture and store data in large organisations and businesses. These are often used to create and streamline a “paper free” business environment and ensure that employees have fast, easy access to what they need, or what their security clearance allows them.
  • Mobile Content Management System – This is a CMS that allows the streamlining and ease of access in exactly the same way as any other CMS, only this enables the information to be accessed and updated via mobile devices.
